Your challenges

Reports from multiple providers and in different formats

A site rarely works with only one provider for its regulatory inspections. The inspection body checking electrical installations is not the same company that maintains the fire extinguishers or inspects the forklift trucks. Each provider sends reports in its own format, and connecting every provider creates cost without guaranteeing complete reliability.

01

Manual data entry takes time and creates errors

Without automatic extraction, someone has to read every report, identify the observations, and enter them into the technical asset database. This can delay action, create data-entry errors or, worse still, lead to a non-conformity being missed.

02

Data can be missing even when the report exists

An approved inspection body may provide a PDF report without sending the related structured data. The customer then depends on the provider and may have to wait several days before the information can be used.

Synidia’s answer

A regulatory passport that imports every report, whatever its source

Noma HSE and Noma+ HSE import inspection reports from any inspection body or service provider, whether Apave or another company, without requiring a dedicated connector for each one. An AI-powered OCR engine reads the documents, extracts the observations, and identifies where they belong in the customer’s asset structure and technical database.

This approach is based on 40 years of expertise in maintenance and inspection software. Synidia has designed its tools around real field constraints, where sites always work with several providers and several report formats, and where complete data is more important than creating one single perfect data flow.

Comprehensive Software

From inspection report to tracked action, without duplicate data entry

The regulatory passport covers the full process, from the arrival of a report to the resolution of the non-conformity it contains.

Key point #1

Independent report import, whatever the inspection body

Inspection reports are imported into Noma HSE or Noma+ HSE whatever their original provider, without waiting for a dedicated connector to be developed for each one.

  • Import reports from any inspection body or service provider, approved or otherwise
  • No dedicated connector required for secondary providers
  • Complete data, including for less standardized inspections

Key point #2

Automatic reading with OCR

An AI-powered Optical Character Recognition engine reads every report and extracts the observations, even when the inspection body only provides a PDF document with no related structured data.

  • Automatic extraction of non-conformities from the document
  • Works even when the provider sends no structured data
  • Greater independence, no need to wait for the inspection body to send data separately

Key point #3

Every observation stored in the right place

The system automatically identifies where each observation belongs in the customer’s asset structure and technical database, turning it into a work order ready to be processed.

  • Automatic connection of the observation to the correct equipment or building
  • Non-conformities turned into work orders
  • Complete technical database, with no manual data-entry work

Key point #4

OCR and connectors combined according to your needs

With Noma+ HSE, a direct connector to an approved inspection body can manage most of the data flow, while OCR processes reports from other providers.

  • Direct connectors available for inspection bodies approved on Noma+ HSE
  • Optical Character Recognition used to complete the remaining data flows
  • User validation before import to keep control of data

Key point #5

A central safety dashboard to manage the resolution of non-conformities

Once non-conformities have been extracted, Noma+ HSE can automatically assign the related work to the right people. The customer only needs to monitor the indicators and can provide a status report at any time.

  • Automatic assignment of work linked to a non-conformity
  • Central dashboard and monitoring indicators
  • Reporting available at any time, without searching for information first

A regulatory passport connected to the safety register and your CMMS

Data extracted from inspection reports does not remain in the regulatory passport. It feeds into the rest of your safety management process.

  1. Connection to the safety register
Every observation extracted from a report directly updates the deadlines tracked in the safety register, without duplicate data entry by the customer.
  2. Connection to your CMMS
Identified non-conformities can be sent to the customer’s CMMS for resolution. The related history, including who completed the work and when, is then sent back to the passport and safety register.
  3. Integration services
Our integration teams in France and North Macedonia configure the technical asset database and the required inspection-body connectors so that report imports are reliable from day one.
